For maintenance customers the response times as per contract apply. All other requests are handled as quickly as possible during office hours, mostly via remote maintenance.

In a penetration test, commissioned testers try to break into your systems using the methods of real attackers, within a scope agreed in writing beforehand. It shows whether existing protective measures hold up in practice. It makes sense once the basics are in place: multi-factor authentication, current patches, a tested backup. Without those, a test only finds what is already known. The security check is therefore the right entry point, a penetration test the possible next step.

Regularly, following a fixed, documented plan, and additionally after every major change to servers, applications or the backup itself. The restore test is what counts: a backup that has never been restored is not a safeguard. The 3-2-1 rule has proven itself, meaning several copies on different media, one of them off-site or immutable. Microsoft 365 data belongs in that plan too.
CybersecurityWhy is multi-factor authentication so important?
Most successful attacks start with stolen or guessed passwords. A second factor makes the stolen password worthless on its own. The most secure options are phishing-resistant methods such as authenticator apps with number matching or FIDO2 security keys; SMS codes are better than nothing but can be attacked. In Microsoft 365, MFA is enforced through Conditional Access for all accounts, not only for administrators.
CybersecurityWhat does phishing training for employees achieve?
Technical filters catch a lot, but not everything. Employees who recognise spoofed senders, artificial urgency and unusual payment requests are the second line of defence. What works is the combination of short, recurring training and simulated phishing emails whose results are not used to expose anyone but to show where more training is needed. Among other tools we use the security awareness training from Hornetsecurity for this.
CybersecurityWhat do we do in the event of a security incident?
Disconnect affected devices from the network, but do not switch them off or reinstall them, so traces are preserved. Reset the passwords of affected accounts, revoke MFA sessions, note observations with timestamps. No ransom payment without advice. Then check the reporting obligations: where personal data is involved, the supervisory authority must be informed within 72 hours under the GDPR, and a cyber insurance policy has its own deadlines. Call us, we support containment, analysis and recovery.

The EU directive NIS2 obliges companies in certain sectors to implement risk management, reporting duties and management accountability; in Germany it applies through the NIS2 implementation act. It covers particularly important and important entities in the sectors of the annexes, such as energy, healthcare, transport, drinking water and waste water, digital infrastructure or certain areas of manufacturing; the size threshold is as a rule at least 50 employees or an annual turnover and an annual balance sheet total each exceeding 10 million euros, and for some types of entity it applies regardless of size. Companies that are not directly covered often receive the requirements contractually from affected customers. We assess your exposure with you and implement the technical measures; the legal classification is a matter for your legal advisers.
CybersecurityWhat is managed detection and response?
Managed detection and response, MDR for short, adds people to antivirus software, people who watch around the clock: a security operations centre evaluates the alerts from endpoints, network and cloud services, separates false alarms from real attacks and initiates containment in the event of an incident. For organisations without a security team of their own this is the practical route to monitoring at night and at weekends too. We use Arctic Wolf together with Microsoft Defender for Business for this.
Endpoint protectionMicrosoft 365How does a migration from Exchange or a local server to Microsoft 365 work?
In five steps: an inventory of mailboxes, archives, files, devices and licences; target concept and tenant base configuration; migration of a pilot group; rollout in waves with training; then operations. With Exchange on-premises a hybrid phase is often useful, in which the old and the new environment run in parallel until all mailboxes have moved. Files from file servers move to SharePoint and OneDrive, with a structure cleaned up beforehand.

Microsoft 365 Business Premium is designed for organisations with up to 300 users and, besides Office, Exchange, Teams and SharePoint, already includes Defender for Business, Intune and Entra ID P1, meaning the most important security building blocks. Microsoft 365 E3 has no user limit and targets larger companies, but brings fewer security features than Business Premium; those only come with E5 or add-on licences. Which combination fits depends on size, protection needs and existing agreements. We clarify that in the inventory before any licences are bought.
Microsoft 365Where is our data stored, and what about the GDPR?
The tenant location is set during setup; for German companies we choose the European Union, usually Germany. Microsoft processes and stores customer data of EU customers within the EU Data Boundary. Legally you need the Microsoft data processing agreement and documentation of the configuration: retention policies, Purview classification, the permission concept and logging. That is exactly what we set up in a way your data protection officer can follow.
Governance and complianceMicrosoft 365Do we need a separate backup for Microsoft 365?
Yes. Microsoft runs the platform with high availability, but does not protect your content against accidental deletion, ransomware, account takeovers or faulty scripts. Recycle bin and retention policies help only to a limited extent and do not replace a backup with an independent storage location and tested restores. We use Hornetsecurity for this and back up Exchange Online, SharePoint, OneDrive and Teams.
Backup and recoveryMicrosoft 365How do we structure Teams and SharePoint sensibly?
With a few clear rules instead of many teams: who may create teams, which naming convention applies, which permissions are granted through groups rather than individuals, and what happens to inactive teams. Documents belong in the teams or SharePoint libraries that match the process, not in personal OneDrives. Sensitivity labels and sharing rules for external guests are part of it from the start. We develop the structure with your departments and document it.
Microsoft 365Is Copilot included in our licences?
Copilot for Microsoft 365 is an add-on licence. Before the rollout we check need and permissions, because Copilot shows users everything they already have access to. A clean permission concept is therefore the prerequisite.
Microsoft 365What does Intune do, and do we need it?
Microsoft Intune manages Windows, macOS, iOS and Android devices centrally: setup of new devices, security policies, encryption, updates in planned windows, application deployment and the compliance check that Conditional Access uses as a condition. As soon as employees access company data on notebooks or smartphones, Intune is the way to keep those devices in a defined state. It is included in Business Premium and E3.
Microsoft 365What is Conditional Access?
Conditional Access is the policy engine of Entra ID: at every sign-in it decides who may access which application from which device, from which country and with which risk level, and which conditions apply, such as MFA or a managed device. Typical policies enforce MFA for everyone, block legacy authentication protocols and restrict access from unmanaged devices. The feature is included from Entra ID P1, meaning in Business Premium and E3.
eMODATWhat is eMODAT?
eMODAT is the DEVACON software for digital forms and mobile data capture: checklists, protocols and work orders are designed in the browser, filled in on site on a smartphone or tablet, with photos, signature and GPS, and automatically transferred to your systems as a PDF report and data record.

Yes. Forms are filled in offline, stored locally and synchronised as soon as a connection is available again, for example in a basement, on a construction site or in a warehouse.
eMODATWhich devices are supported?
iOS and Android smartphones and tablets. You find the apps in the App Store and on Google Play. Forms are designed and reports evaluated in the browser, without installation on the workstation.
eMODATCan eMODAT be connected to our database?
Yes, eMODAT integrates through interfaces with practically any database as well as ERP, DMS and specialist systems. Forms can also look up data from your database, for example customer or property master data, so nothing has to be entered twice on site.
eMODATIs eMODAT available as an in-house solution?
Yes. Besides the hosted Online edition there is eMODAT On-Premise for operation on your own servers, connected to your database. That is the route when data must not leave the building.
eMODATAre jump logic and plausibility checks supported?
Yes. Forms can show or hide sections depending on input, set mandatory fields and check entries for plausibility while they are being captured.
eMODATDo I need administrator rights to install eMODAT?
For installing the server components and integrating with backend systems, yes. Installing the app on iOS or Android devices needs no special rights, unless your device management restricts it.
eMODATIs there an installation guide, and who helps with problems?
Yes, a detailed guide is available from support on request. If problems occur during installation or integration, we help by phone, email or remote maintenance.

Request trial accesseMODATCan the language of the app and the forms be changed?
Yes. The app language is set centrally and can be changed locally by the user. The form language is configured in the web console; after a change the form has to be published again and synchronised on the device, otherwise the old language remains visible.
eMODATWhy does synchronisation on the device sometimes take long?
During synchronisation the forms and the associated lookup data from the database are transferred. The duration depends on the network connection and the amount of data. Large master data tables can be restricted or split; your administrator or our support can help.
eMODATHow does eMODAT protect our data?
The transfer between app and server is encrypted, access runs through roles and permissions, and you choose between hosting in Germany and on-premise operation. We document with you which data resides where, for your data protection officer.
ProDictateDoes ProDictate run in Citrix environments?
Yes. ProDictate runs in Citrix Virtual Apps and Desktops (XenApp, XenDesktop) and on Windows Terminal Servers and uses its own virtual channel for real-time audio.

Windows 10 and 11 on the workstation, Windows Server 2016, 2019, 2022 and 2025 for servers and terminal servers, plus thin clients with Windows Embedded or Linux, for example from Igel, Stratodesk and Open Thin Client.

Yes, via HL7. Dictations and findings are assigned and handed over to the right case. In addition there are file export, database connection and interfaces to third-party systems.
ProDictateWhich audio formats does ProDictate use?
Recording is in PCM, ADPCM or Speex, with the sample rate depending on the hardware. Through ProDictate Import, files in the DSS and DS2 formats of classic dictation devices are taken over as well.
ProDictateHow does dictation distribution work?
Dictations are distributed dynamically to typists according to a defined scheme, for example by department, author or priority. A supervisor keeps an overview of open dictations and can redistribute when needed. User management runs through Active Directory.
ProDictateAre transcribed dictations deleted automatically?
Yes. A clean-up routine removes completed dictations after a configurable period, 30 days by default. Your administrator sets the value according to your retention rules. If dictations are not deleted, the service account usually lacks write permissions on the database; support checks that with you.
ProDictateCan a dictation be recovered after a crash?
Yes. During recording, dictation fragments are cached locally. After signing in again, ProDictate reports an unfinished dictation and offers to continue editing it. If you decline, the fragments are deleted permanently.
ProDictateThe dictation microphone freezes or is no longer recognised. What helps?
Power saving features of the PC are usually behind it: check that USB selective suspend is disabled in the Windows power plan, set the power plan to high performance and update the USB and chipset drivers. If that does not help, connect the device to a different USB port and send us the log files.
ProDictate OnlineHow does speech recognition at the cursor work?
ProDictate Online recognises spoken language on the server and inserts the text right at the cursor position of the active application, without copying and without integration into the application.

German, English and French. The language a user works with is enabled per user in ProDictate.

Medical vocabularies, including radiology, surgery, paediatrics, gynaecology and psychology, a cross-disciplinary medical vocabulary as well as a general and an administration vocabulary. Specialist vocabularies for legal applications are available as well.
ProDictate OnlineCan one user work with several vocabularies?
Yes. The vocabularies are assigned to the user in ProDictate and can be switched in ProDictate Online via the vocabulary menu, for example between a medical report and administrative correspondence.
ProDictate OnlineDoes ProDictate Online run under Citrix or on a terminal server?
Yes, in Citrix Virtual Apps (XenApp) and on Windows Terminal Servers, also from thin clients. For this, the VC client from the VC Framework is installed on the PC or thin client and brings real-time audio into the session.

Yes. ProDictate Online works with stationary USB dictation microphones and with headsets. What matters most for recognition quality is a clean microphone signal.

After a configurable time without speech input, an idle timeout ends recognition so that no delayed responses occur. Your administrator can adjust the value in the configuration.

ProDictate Mobile 3 is available in the App Store for iOS and on Google Play for Android. The links are on the module page.

Yes. E-fields are available for this and are filled in when a dictation starts. An e-field is either a text field with format checking, for example numeric or date, or a drop-down list with predefined values. The fields are configured in the settings.

The licence is entered and activated in the app settings under Licence; the device needs an internet connection for this. Licences are available in the shop or on request, and the settings can be distributed by remote configuration.

Yes. ProPlayer supports the foot pedals FOOTCONTROL USB, Philips LFH 2210, Philips LFH 2310/00, Philips LFH 2330/00 and Olympus RS-28 for playback, pause, rewind and fast forward; the drivers are already included.

Whether a playback device is connected and set as the default device in Windows. If the ProPlayer log file says that no audio device was found, the cause is the hardware or its driver, not ProPlayer. In Citrix sessions, also check the audio transfer of the session.
ProRecorderWhat is ProRecorder?
The lean recording application for simple dictation workflows: record, wind, insert, delete and overwrite at the workstation, with dictation information for identification and automatic distribution. Settings are maintained centrally.

Either directly on the system or by copying it into a folder, also on Windows Terminal Servers and in Citrix environments. USB dictation devices control the software without any further driver installation, on thin clients too.
ProRecorderCan ProRecorder be started from our specialist application?
Yes. ProRecorder accepts parameters at start-up, such as the user name and up to six pieces of dictation information like a patient or file number, plus switches for playback-only mode or to skip device detection. Values with spaces, for example double-barrelled names, belong in quotation marks. This way your hospital or specialist application hands over the case data automatically.
ProRecorderCan ProRecorder start without a user login?
Yes, if prompting for the user name is disabled in the configuration. The user can then be passed as a start parameter.
ProRecorderAre sent dictations deleted automatically from the workstation?
Yes. A clean-up routine removes sent dictations after a configurable number of days, set separately for all dictations and for those already transferred. Your administrator sets the values in the configuration.
ProRecorderHow can I register my ProRecorder licence?
The ProRecorder log files are located in the ProRecorder directory under the user profile %USERPROFILE%. For example on Windows XP: C:\Documents and Settings\YOUR_USERNAME\Application Data\Devacon\ProRecorder\LOGS. Windows 7: 1. Open Explorer, Organize, Layout, enable the menu bar. 2. Tools, Folder Options, View, Hidden files and folders, Show hidden files, folders and drives. 3. C:\Users\USERNAME\AppData\Roaming\Devacon\ProRecorder.
ProReportWhich reports does ProReport offer?
Dictation volume, processing times, workload per author and typist and further key figures of the dictation workflow, in 24 preconfigured standard reports with charts, exportable as PDF and Excel. Custom reports are available on request.

No. ProReport is web-based; reports are created, exported and sent in the browser. Access is controlled through user management.
ProReportCan reports be sent automatically?
Yes. Preconfigured reports can be sent regularly by email, for example weekly to the head of the typing pool.
ProReportWhich data sources can ProReport evaluate?
SQL databases, in particular the ProDictate database. ProReport is also compatible with Dictaphone Enterprise Express Voice (EXV).
ProReportProReport reports an error connecting to the database. What is usually the cause?
Usually network or permissions: the SQL Server must allow remote connections for the instance (for named instances via the SQL Server Browser service or a fixed port), and the application pool account needs write permissions on the ProReport data directory. If the database version does not match the ProReport version, an update helps; support checks that with you.
Thin clientWhich thin clients are supported?
Igel, Stratodesk and Open Thin Client, each with audio support for ProDictate through the VC Framework.
Thin clients as a solutionThin clientWhy should the audio transfer of the Citrix session be switched off on the thin client?
Because the VC Framework transfers recording and playback through its own virtual channel. If the audio transfer of the ICA or HDX session runs as well, both paths compete and quality suffers. Disable the audio transfer in the session options of the thin client, for example in the Igel configuration of the Citrix session.
Thin clientAfter a settings change, recording or playback no longer works. What now?
Thin client settings in ProDictate only take effect after the thin client has been restarted or the Citrix connection has been re-established. Restart the thin client and sign in again.
Thin clientDoes ProDictate have separate settings for thin clients?
Yes. For thin clients, sample rate, bandwidth limit and the Speex mode are set separately so that audio arrives cleanly even over narrow links. Support will tell you the right values for your environment.
Thin clientHow are the ProDictate components rolled out to many thin clients?
Centrally through the vendor management tool, for Igel for example via the Igel UMS. The VC client and ProPlayer are packaged once and then rolled out to all devices.
